How to Turn Job Records Into Better Weekly Decisions
Use existing job records to find a stalled handoff, make one weekly decision with your crew, and fix one workflow step.

A technician finishes a visit, but the customer still needs a callback. The visit is recorded. Who owns the next call may not be.
Use your next weekly crew review to find one handoff like this and make the next step clear.
1. Pick one question
Ask something your crew can act on this week: Which jobs still need a callback?
If parts updates are the bigger concern, ask which jobs are waiting for one instead. Stay with one question for the review.
2. Record three facts at the handoff
For each visit that needs a callback, record:
- Status: Callback needed, assigned, or done
- Date: When the call is due
- Next owner: The person responsible for making it
Add these facts when the visit closes, while the need for a call is clear. Use the job record your crew already works with.
3. Check a few recent jobs
Before the crew meeting, open a few recent visits that needed callbacks. Make a short list of those still waiting.
If a status, due date, or owner is missing, mark the job for checking. A blank field does not tell you whether the call happened.
4. Make one decision with the crew
Go through the waiting list. Decide who will make each call and when. Then ask where the assignment became unclear.
Choose one workflow change to test. For example, assign the office caller before a visit that needs follow-up is marked complete. Name who will check that the assignment was recorded.
5. Ask the same question next week
Check the new records for callbacks still waiting. Can the crew see their status, due date, and owner? If the assignment is still unclear, adjust that handoff step and check again the following week.
