# How to Choose Software for Your Trades Business

A practical checklist for shortlisting, trialing, costing, and keeping or rejecting your next business tool.

Published October 13, 2026

Before you shop for home service business software, name the job that keeps getting stuck. Is a callback missing the scheduler? Are job notes still on a technician’s phone when the office needs them to invoice?

Pick one problem. Then use the same job to compare tools, test them, and decide whether one is worth keeping.

## Write down the broken handoff

Choose a recent job that stalled. Write down:

1. Who received the request?
2. Who needed the information next?
3. Where was it recorded?
4. Where did it stop moving?

For example, a plumber might take a callback, but the scheduler never gets the customer’s address or preferred time.

If you need to map the full job flow first, see [The Three Systems You Need Before $1M](https://www.novatori.us/field-notes/systems-to-scale-past-1m).

## List what the next person needs

For that callback, the scheduler might need the customer’s name, number, address, issue, preferred time, and current status. Write your own short list before a demo.

A [job management system can track jobs and ongoing tasks from one platform](https://business.gov.au/online-and-digital/digital-tools-for-business). Check whether each tool actually gets *your* required details to the next person without a second call or a search through texts.

## Shortlist two or three tools

Use the same handoff to screen each option. Ask the vendor to show you:

- The daily user entering or updating a job on a phone
- The next person finding the required details
- Any connection needed to your current calendar, accounting tool, or other records
- The exact steps you can try yourself during a trial

Drop an option if the vendor cannot show how it handles the handoff you named.

## Run the same job through each trial

Have the person who will use the tool each day test it on a phone. Use the same recent job for every option, with customer details removed if needed.

1. Enter the request and job details.
2. Assign or schedule the work.
3. Add a note from the field.
4. Pass the job to the next person or system.
5. Find the record when the customer calls back.

Ask both people: “Did the right information arrive without extra calls, text searches, or double entry?” Note where they got stuck. A smooth vendor demo does not answer that question for your crew.

## Get the complete quoted cost

Ask for a written quote for the setup you just tested. Include setup, every user seat, required add-ons, transaction fees, training, connections to other tools, and cancellation terms. Ask what happens to the price when the trial ends.

[User limits, transaction fees, and add-ons can change what you pay](https://www.housecallpro.com/resources/best-home-service-apps/). If the feature that made the trial work costs extra, get that amount in the quote before you commit.

## Check access to your records

Before the trial ends, export a customer or job record. Open it and check whether the details you need are there. Ask what else you can export, how your current tools connect, and how to reach support when a live job is stuck.

Name the person on your team who will set up the tool and help the crew use it. After rollout, [How to Turn Job Records Into Better Weekly Decisions](https://www.novatori.us/field-notes/turn-job-records-into-weekly-decisions) shows one way to use the records you collect.

## Set a keep-or-reject date

Choose the decision date before the trial starts. Keep the tool if the tested job reaches the next person with the right details, the daily user can do the work on a phone, the quoted cost is clear, and you can retrieve your records.

Reject it if the same handoff still fails, the crew has to enter the job twice, or a required feature or support arrangement remains unclear.

## Software trial checklist

- Name one job that stalled.
- List the details the next person needs.
- Shortlist two or three tools.
- Have the daily user test the same job on a phone.
- Get the full quote in writing.
- Export and open a job or customer record.
- Set a date to keep or reject the tool.

Today, write the failed handoff from one recent job in a single sentence. Take that sentence into every demo and trial.

Keep going
